How to Expense Business Travel
How would you like to take a fabulous trip to an exotic destination and have Uncle Sam pay the bill when you return home? No, it’s not an illegal scheme that will get you in trouble, but a clever hack that allows you to travel around the world for practically nothing. When it comes to traveling, entrepreneurs have the ability to mix business and pleasure. And, here’s the beauty of it: you don’t have to be the CEO of a fancy startup to benefit from tax deductions on your travel expenses. You can turn your blog or passion for photography into a business and write off expenses. For example, if you’ve set up a business for you travel blog, now you can go anywhere in the world and file all expenses on your taxes as a business expense. After all, you’re going there for business reasons – to create new content for your blog. If you’re new to the business world, complying with the tax code may feel like navigating a maze. But, it becomes less complicated once you know what you can write off and what not. For starters, you must ensure that the primary reason for your trip is for business. Otherwise, it would be hard to justify a 7-day trip to the Bahamas when you only have one day of meetings. A clever trick would be to count up the number of business and personal day on your trip. Keep in mind that the majority of days should be for business activities. For example, you could fly to the Bahamas on Thursday, have a meeting on Friday, stay and enjoy the weekend, meet with other clients on Monday and Tuesday, and fly back home one Wednesday. Another thing that you should keep in mind is that you can’t just fly to the Bahamas with a stack of business cards in your wallet and call it a business trip. According to the IRS, you need to have at least one business meeting scheduled before you leave. Otherwise, you won’t be able to write off your expenses. Which Expenses Are Deductible? Here are some of the business travel expenses you can write off your tax bill: Transportation Costs You can deduct 100% percent of your transportation costs, whether we’re talking about bus, car or air travel. Be careful, though: you need to choose the appropriate option to be able to deduct your taxes. While flying first class is admissible, you don’t get away with deducting a two-week cruise you took to arrive at a business meeting. Also, keep in mind that according to the IRS, your home is your regular place of business. So, if you work between Monday and Friday in New Hampshire and fly to South Carolina to be with your family during the weekend, you can’t deduct your travel expenses. Lodging You can claim your accommodation entirely. Don’t forget to ask for an itemized bill when you check out from your hotel. Some costs, like movie rentals or goods from the mini bar, might not be eligible for tax deduction. Meals You can deduct 50% of the cost of meals related to your business travel needs, tips and tax included. If you’re meeting with a client over dinner, you will have to document what business related topics you’ve discussed to pass the audit. Other Expenses Other costs that you can write off include conference fees, equipment rental, dry cleaning and laundry, shipping luggage, business calls, renting a location for a presentation, and registration fees. You can’t deduct the following expenses from your taxes: Family travel costs: You can bring your family with you on a business trip, but don’t expect to be able to write off their expenses. Sure, you can deduct your hotel room because you would have stayed there whether they were with you or not, but you can’t write off their transportation costs and meals. Expenses in your city: You can’t rent a hotel room in your town and expect Uncle Sam to pay for it. Personal extensions to business trips: If your trip was primarily for business, but then you decided to extend your stay and bring your family along, you can only deduct your business-related days. Your daily commute: Transportation to and from your office can’t be write off as a business expense. Lavish meals: Paying $400 for a bottle of wine and ordering only fancy food will probably get the attention of the IRS. Any unreasonable expense: if you can’t justify it, don’t put it on your tax deduction documents. Today, I'm talking about a very interesting topic because, for example, in Toronto right now, it's very, very cold. I'm thinking about travelling; I would love to go somewhere hot to get away from this winter. So, when I travel, I have, of course, to make travel arrangements. So here, we have a list of words, a list of things that you must think about before you go on a trip to a different country. We're going to go over each of these. We're going to start with "booking" and "reservation". Now, many people think that this is more or less the same, which it is. To book something or to reserve something means to keep a place, to keep your place. You book a flight, you book a hotel room. Generally speaking, you make a reservation at a restaurant; you make a booking with a travel agency or with a hotel, with accommodations, any type of accommodation. Speaking of, accommodations are hotel, motel, hostel, B&B, bed and breakfast; all kinds of accommodations. Make sure you have a booking before you go, so your place is safe, it's kept for you. When you arrive, it's all good. Next, when you're at your destination, the place you're going to, you might want to "rent" a car. Okay? Sorry, this is accommodation. One thing I wanted to also make sure - "accommodations", without the "s", "accommodation" means something different. Okay? "Accommodations" is where you're going to sleep. And you might want to "rent" a car. You can also "hire" a car. Means the same thing. British people generally use "hire" more, North Americans use "rent" more often. Next, you have to think about your "baggage". Suitcase, luggage, bags, anything you're carrying with you. You might have "check-in baggage". Sorry, I don't know if you can see this guy. "Check-in baggage" and "carry-on baggage". "Check-in baggage" means you give it to the airline, they put it under the plane, you pick it up at your destination. "Carry-on" means you carry on, so you carry it on your shoulder on to the plane. Okay? In your carry-on, you have to be careful, it has to be small. You can't have liquids because of security and all that stuff. So things that you can't put in your carry-on, you must put in your check-in baggage and give to the airline. Next, when you get to the airport, assuming you're flying, you will have to do a few things that concern the word "boarding". Before you board your plane, get on your plane - you will get a boarding pass that lets you pass through security and into the airport. On the boarding pass, you will see your "boarding time", this is when you get on the plane and your "boarding gate", the place in the airport where you're going to get on your plane before takeoff. Okay? We can also use this for a train. You board a train, you get a boarding pass with a boarding time, and generally a boarding platform. Okay? So "boarding", getting on your vehicle, whatever vehicle that might be. You will also generally need to get a "visa" to many countries. Now, a "visa" is something that you use to get into a country, it gives you permission to stay in that country. But be aware: many places, if you're going through another country... So, for example: I'm going to country "C" via country "B". "Via" means by way of or through. So I might need a "transit visa", means I can go there, switch planes and keep going on my journey. But I'm still in another country, I need a transit visa. Excuse me. Also, make sure you're prepared to spend money as soon as you get to your destination. If you're going to a different country, that country will but using a different "currency", type of money. In Canada, we have Canadian dollar. America has American dollar. Okay? For things like that. In Europe, you need the euro. So make sure you have some of the currency before you go, or purchase it at the airport or at the destination you're going to.

Personally, I'm a big fan of wheels especially four wheels, not the two wheels, because you can easily maneuver them with one hand. Also, I prefer stiffer suitcases so I can put it back on top of it without it collapsing on me. So when you start packing, I suggest to first lay everything out on your bed or maybe on a carpet, on a clean space where we have a good overview. So what shoes to bring for a business trip? Black is the ultimate color. I suggest you go with a black cap toe Oxford. Alternatively, you can also go with a black oxford half brogue or black oxford quarter brogue. A little bit of broguing makes it a little less formal, at the same time, it's perfectly appropriate for everything. Now the second pair to bring is a dark red or oxblood burgundy colored dress shoe. It could either be a tassel loafer and you could travel with that because it's easy to take on and off when you're through security or you could go with a Derby shoe or maybe even an oxford. Next up, I suggest bringing two to three dress shirts. Even if you're just going on a one day trip, there's always a chance that someone will spill something on you and it's much better to have something that you can change into than having to figure out where you can have it dry-cleaned. Next up is a suit. There's probably no other garment that is more business appropriate than a dark suit. If you have to pick one, I suggest to go with a navy worsted suit, ideally single-breasted with notch lapels, either one button or two buttons, side vents, maybe some cuffs at the bottom of pants so they pull down the pants and prevent any potential wrinkles. In terms of weight, I'd go for a three-season weight. If you want just one all-rounder, you can also opt for something with an open weave. That way, you feel the breeze because sometimes when you're in an office environment, it can get quite hot but you know yourself if you're likely to overheat or if you feel cold all the time. When it comes to accessories I think a necktie is essential especially in a classic business environment. If you're a little more flamboyant or if you are maybe independent or in an area where dress codes are a little more relaxed, you can also go with a bow tie, otherwise, I suggest to stay with a classic necktie. A pocket square can really help to make your outfit look more polished. So if you have a white shirt, a white linen pocket squarw especially in a TV fold or a crown fold, it can add a finishing touch. You can find a selection of all kinds of pocket squares as well as regular neckties and bow ties in our shop here. When it comes to cufflinks I suggest to go with a simple pair such as a monkey fist knot cufflink in silver gold. Skip the colored enamel cufflinks as well as the gemstone or diamond cufflinks. Next up is a toiletry kit. I suggest keeping a small bag that you can easily remove at any point in time because sometimes at security, you have to remove it depending on your status. To save on space, definitely go with travel sized items and don't bring your regular size aftershave shaving cream or toothpaste. Drupal 7 - Advanced Mileage Tracker for All Business Reasons 2017 All Mileage Tax Deductions
In one of our previous videos we created a basic business mileage deduction calculator. This tool allows us to calculate the mileage we have traveled based on our odometer readings and then applies the standard business trip mileage deduction of 0.535 to the trip miles. This allowed us to calculate the total deduction for that business trip. The problem with this approach to mileage tracking is it does not take into account any medical, moving, or charity trips. This means with our previous application we would not be able to track these expenses. So in this tutorial I decided to go a step further and create a application we can use to track all business trip types. This includes business trips, business related medical trips, business related moving trips, and business related charity trips. This tool allows us to choose what type of trip we are going on, and based on the standard IRS tax rates we can choose which rate the line items are taxed on. This allows us to create a tool to actually calculate many different types of trips on one view table. This tutorial uses the tax numbers for 2017 so these numbers will be accurate during the 2017 tax season. I hope everyone enjoys this tutorial. CHEAPEST Way to TRAVEL from Kyoto to Osaka by Train | Japanese Travel Vlog

And depending on where you go, you can find yourself surrounded by hyper-futuristic technology and neon lights, traditional temples and thousand-year-old buildings, pristine natural environments, and just about everything in-between. And while I wish I’d had more time to explore more of this beautiful and traditional city, there was a lot more to come on my trip through Japan, so I was also excited to arrive in my next city. Come along with me as I show you the cheapest way to travel from Kyoto to Osaka by train! Kyoto and Osaka are very close to each other, and I was able to get a train ticket to Osaka for only 560 Yen, or $5.03 U.S. After buying it, I had to get to track 60 at Kyoto Station and make my way through the crowd to get onboard. Once onboard my train, I had to stay very quiet; in Japanese etiquette, it’s considered rude to talk loudly on public transportation. Always learn the etiquette and culture before traveling to a new country. No one wants to be that one rude, uninformed tourist! After a smooth, 40-minute ride, I arrived in Osaka! My next order of business was finding out how to get to Dotonbori, the most popular area of the city and the place where I’d be staying. As I attempted to find my way to my next train, I made my way through huge crowds and passed lots of shops and restaurants. The walk to my platform was long, but I was able to save money by taking a train (230 Yen/$2.07 U.S.) instead of a taxi to my Airbnb; a taxi would have cost more than ten times that! Four stops and six minutes later, I was where I needed to be. I passed by more restaurants and shops on my way out. These big, Japanese train stations are like cities in and of themselves! They’re so busy and there are so many things to see and do there. After exiting the station, I asked for directions to my Airbnb—never be afraid to ask for directions if you don’t know where to go—and set off to the place I’d call home for the next couple of days. It took me a while to figure out how to get the key, used it to get to the elevator, and took it up to my unit, 1304. From my balcony, I had some incredible views of Osaka! What a fun but intense journey! As you can see, traveling from Kyoto to Osaka is very easy and can be extremely inexpensive if you make the right choices. I hope this helps you out if you’re traveling through Japan on a budget! Speaking of travel experiences, I wasn’t content to stay in my Airbnb for the rest of the night.
